Job Description
We are looking for a proactive Administrative Assistant (CRM & Operations Support) to support our daily operations and be an active part of our growing international team.
Your main responsibility will be to transfer and organize client data into our CRM system, manage outbound email communication with clients using standard templates, and support the team in various administrative tasks.
You will help keep our client and candidate databases accurate, ensure follow-ups are completed, and contribute to smooth daily operations and company growth.
Main Responsibilities:
Transfer and organize new client data into the CRM system (contact details, company info, VAT, etc.)
Send standard email outreach to clients using prepared templates
Maintain and update candidate records in the CRM
Create follow-up tasks for sales and recruiters
Keep internal progress lists and task overviews up to date
Prepare monthly overview tables (active clients, active candidates, pending tasks)
Track company KPIs (new clients, open emails, completed actions)
Send standard messages via WhatsApp, LinkedIn, or email
Expand company connections on Facebook and LinkedIn
Collaborate closely with colleagues to ensure smooth operations across departments
Job Requirements
Minimum of a Bachelor’s degree (Business Administration, Management, or related field preferred)
Excellent attention to detail and strong organizational skills
Strong organizational skills with the ability to multitask and prioritize effectively in a remote environment.
Excellent written and verbal communication skills in English; additional European languages are a plus.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and cloud-based collaboration tools.
Experience with CRM systems (RecruitCRM or similar is a plus)
Reliable, structured, and proactive
Strong problem-solving skills and a proactive approach to challenges.
High level of integrity and ability to handle sensitive information confidentially.
Ability to work independently and as part of a team
Stable internet connection and good communication skills
